The Parish Bookkeeper & Financial Administrative Assistant supports the financial life of All Saints Parish by managing routine bookkeeping tasks, maintaining accurate records, and serving as the primary liaison between the parish office and Shared Accounting. This role is essential in ensuring timely communication, smooth financial processes, and responsible stewardship of parish resources. The ideal candidate is detail-oriented, trustworthy, and committed to supporting the mission and ministries of All Saints.
• Process accounts payable, invoices, reimbursements, and check requests.
• Prepare and submit weekly and monthly financial documentation to Shared Accounting.
• Monitor parish accounts, ministry budgets, and activity funds.
• Assist with tracking and recording parish income, including donations, program fees, and event revenue.
• Maintain digital and physical financial files in an organized and accurate manner.
• Serve as the main point of contact between All Saints and Archdiocesan Shared Accounting staff.
• Provide timely communication regarding questions, clarifications, or follow-up needs.
• Ensure financial deadlines and documentation requirements are met.
• Support month-end and year-end processes, audits, and financial council reviews.
• Assist the Business Manager with financial reports, correspondence, and data entry.
• Maintain vendor files, W-9s, and payment documentation.
• Assist with payroll submission and timesheet reviews (as needed).
• Prepare deposits and track parish income with accuracy and confidentiality.
• Provide general administrative help to support parish office operations.
• Maintain strict confidentiality regarding parishioner and financial information.
• Follow Archdiocesan financial policies and internal parish procedures.
• Support a culture of responsible stewardship, hospitality, and service reflective of All Saints Parish.
• Experience in bookkeeping or accounting support preferred.
• Familiarity with QuickBooks, or related accounting systems helpful.
• Strong organizational skills with attention to detail and accuracy.
• Ability to work independently, manage deadlines, and communicate clearly.
• Proficiency in Microsoft Excel, Word, and digital organizational tools.
